Email Integration

Log customer email conversations in Klime by CC'ing your unique email address.

Log customer email conversations in Klime by CC'ing your unique email address. Emails appear in customer timelines alongside product usage data.

Getting started

  1. Find your Klime email address in Settings (or click "Add Email" on a customer page)
  2. CC this address when emailing customers, or forward existing threads to it
  3. Klime matches the email to the right customer and adds it to their detail page

How matching works

Klime automatically matches emails to customers by:

  • Email domaincustomer@acme.com matches to Acme Inc
  • Reply chains — follows existing conversation threads

If Klime can't match an email, it's saved as "unmatched". You can currently not manually match emails, but let us know if you suspect a message is stuck and we'll help you out.

What gets captured

For each email, Klime stores:

  • Subject line and timestamp
  • AI-generated summary
  • Direction (incoming or outgoing)
  • Participants
  • Original HTML version

Auto-replies, bounces, and spam are automatically filtered out.

Managing emails

On any customer's timeline, click the menu (⋯) on an email to:

  • View the original HTML version
  • Hide it from the timeline

Sending outreach

When you generate outreach from a customer or user page, you can choose to send it directly from Klime or open it in your email client. Each team member can set their own preference, and Klime remembers the choice between sessions.

If you have a custom domain connected, the "From" address shows your domain. Otherwise it uses your klime.email address. Outreach emails CC your Klime email address so replies are automatically tracked.

Email prefix

You can customize the prefix of your klime.email address in Settings → Integrations under Email. The prefix can only be changed once, and your old address keeps working as an alias so you never miss a reply.

Custom domain

By default, outreach emails are sent from your organization's klime.email address. You can connect your own domain so outreach comes from an address your customers recognize.

  1. Go to Settings → Integrations and find the Custom domain entry under Communication
  2. Click Connect and enter your domain (e.g. acme.com)
  3. Klime shows the DNS records you need to add (DKIM, SPF, MX). Copy them into your DNS provider
  4. Click Check again to verify. DNS changes can take a few minutes to propagate
  5. Once verified, all outreach emails are sent from your domain automatically

After verification you can change the sending prefix (the part before the @) at any time.

To disconnect a custom domain, click Disconnect on the same settings page. Outreach will fall back to your klime.email address.

Privacy

Attachments are not stored. Only your team members can see logged emails.

Tip: Use an email alias

Instead of CC'ing your Klime address, set up an alias on your domain (like feedback@example.com) that automatically forwards to Klime. Then just CC that alias — it's easier to remember and matches your brand perfectly.
