How we handle your data.

This Privacy Policy explains what personal data Klime collects, how we use it, and the choices you have. It applies to the Klime services and website operated by Klime B.V.

Who we are

Klime B.V., a company registered in the Netherlands, is the controller of the personal data described here, except where we process data on behalf of a customer (see Data we process for customers). Reach us about privacy at hello@klime.com.

Data we process for customers

When your organization uses Klime, we process the content and connected-tool data your team brings in as a processor, on your organization's instructions and under our agreement with it. Your organization is the controller for that data. This policy focuses on the data for which Klime is the controller, such as account and usage data. If your data is part of a customer workspace, contact that organization to exercise your rights, and we will help them respond.

Data we collect

Data you provide

Account details such as your name, email, and organization; content you create in Klime such as messages, memory, and agent instructions; and anything you send us when you contact support.

Data from your connected tools

When you connect a tool such as your CRM, code host, calendar, or notes, we access the data needed to run the agents and features you use, within the permissions you grant. You control which tools are connected and can disconnect them at any time.

Data we collect automatically

Basic usage and device data such as log data, IP address, browser type, and how you interact with Klime, collected to keep the Services secure and working.

How we use data

  • Provide, maintain, and improve the Services.
  • Run the agents and automations you set up, including sending relevant content to the AI providers that power them.
  • Keep Klime secure and prevent abuse.
  • Communicate with you about your account, support, and service updates.
  • Meet our legal obligations.

We do not sell your personal data, and we do not use the content in your workspace to train our own models.

AI providers and automated processing

Agent features rely on third-party AI providers. When an agent runs, we send the content it needs to the provider to generate a response or a proposed action. Agents ask for human approval before they act, so automated processing does not produce legal or similarly significant effects without a person in the loop. We choose AI providers that do not use content sent through their APIs to train their models.

Legal bases

Where the GDPR applies, we rely on: performance of a contract to provide the Services; our legitimate interests in securing and improving Klime; your consent where we ask for it; and compliance with our legal obligations.

Sharing your data

We share data with the service providers that help us run Klime (our subprocessors), such as hosting, AI, and analytics providers, under contracts that require them to protect it. We may also share data to comply with the law or to protect Klime, our customers, and the public. If Klime is involved in a merger or acquisition, data may transfer as part of that deal, and we will let you know.

International transfers

We host data in Europe. If any data is transferred outside the European Economic Area, we rely on safeguards such as the European Commission's standard contractual clauses.

How long we keep data

We keep personal data for as long as your account is active and as needed to provide the Services. After your account closes, we delete or anonymize data within a reasonable period, unless the law requires us to keep it longer.

Klime is hosted in Europe. We describe our security measures on our Security page.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or port your data, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, email hello@klime.com. You also have the right to complain to your local data protection authority.

Cookies

We use a small number of cookies and similar technologies to keep you signed in, remember your preferences, and understand usage. You can control cookies through your browser settings.

Children

Klime is built for teams at work and is not intended for children under 16. We do not knowingly collect data from children.

Changes to this policy

We may update this policy as Klime changes. When we make material changes, we give reasonable notice. The date at the top shows when it last changed.
